Minutes from the 4/15/12 Secretariat Meeting

The meeting at the Kikos’ home in Arlington began at 6:32 p.m. after snacks and sharing.
Phil shared that Duffy has spoken with Mike Green and he is willing to stay on for another year. Joan shared that with the end of her three-year term, she is checking with possible successors.
Duffy advised that Peter Trahan will be taking over Web posting responsibilities for the Weekend committee. The women of the 134th are set for cleanup on the 124th men’s Weekend at Missionhurst.
John and Toni said that calls are being made for the fall Weekends at San Damiano. John will be rector and Mike Leahy will be the musician. Fr. Tuck Grinnell and Deacon Jim Bayne will serve as the spiritual directors. Potential rectoras were discussed by the Secretariat.
Phil was in contact with Carol Poplin. There is a plan to include some witnessing at the April 28 School of Leaders event. There also will be a quiet night on May 25, 7:30 p.m., at Missionhurst. The Fourth Day Committee also is looking at a “Vacation Bible School for Adults” event in July or August that would feature sharing of our favorite Scripture verses. The committee is planning a diocesan Ultreya for September, possibly in the Fredericksburg/Triangle area, and an Advent evening of reflection in December. Another diocesan Ultreya is in the works for January or February in the Springfield/Burke area, and a March Lenten retreat for Cursillistas also is under discussion. The Secretariat also talked about the possibility of an event with Fr. Stefan Starzynski.
Phil has presented his vision statement to Ultreyas in Fredericksburg, Mclean, Springfield, and Arlington, and hopes to meet with the Woodstock Ultreya as well. He and Tuck planned to speak to the Congressional Catholic Staff Association on April 20. Phil shared that seven people have signed up to be on the steering committee, a temporary group that will do some brainstorming about ways we can enhance Cursillo. Phil also had a phone call with Soren Johnson of the diocesan offices about the year of evangelization. He is talking with a contact at a Catholic radio station about doing some public service announcements. Phil also will attend the Cursillo Region II meeting in New Jersey the weekend of April 28.
Mel said she hopes to come to the next Secretariat meeting with a formal plan for internal and external Cursillo communications.
The meeting concluded at 7:45 p.m. with prayers and intentions. The next meeting will be at the Kiko home on May 20 at 6 p.m.

The meeting at Mimi Fitzgerald’s home in Arlington began at 7:02 p.m. after dinner and sharing.
Phil presented Mimi with a card and gift certificate and thanked her for her service as lay director the past 3 ½ years.
Phil discussed possible days and times for Secretariat meetings going forward. He also expressed an interest as he did in his vision statement for involving our Woodstock and Fredericksburg communities in the Secretariat meetings. The next meeting was set for April 15 at 6 p.m. at the Kikos’ home in Arlington.
Transition issues were discussed. The two issues were the Area 2 meeting April 29 in New Jersey, which Phil will attend, and the need for an audit of our finances. This will be done by Jim August.
We considered time-sensitive issues and determined everything is in order as fall Weekend dates and the location (San Damiano) are set.
Discussion ensued on our bylaws, which John will send to all Secretariat members. Mel noted her term expires in August; Joan says she will stay on for another year. Duffy will be resigning from the Weekend Committee leadership.
Jean asked if it would be acceptable for School of Leaders (SoL) to be on hiatus in July and August, and the Secretariat agreed to do so. Robert Trainor and the Kikos will lead the March 10 SoL where as part of the program the future of Cursillo will be discussed. Jean also asked everyone to save the date of April 28 for a new Cursillistas orientation, possibly at St. Mark’s. We also discussed the possibility of videotaping SoL programs. Jean is looking for material for the next round of SoL programs after we finish this sequence in June. It was suggested that we use one slot to give people the opportunity to better
understand what is involved in being on team.
Joan reported 10 women were already signed up for the spring Weekend and three others were likely. We have one man signed up for the men’s Weekend. Capacity will be 20 to 24. Phil and Tuck are meeting with Catholic staff on Capitol Hill in April.
John and Toni said they have not begun calling for the fall Weekends as we need a rector and rectora first.
Duffy said the women’s spring Weekend will need some assistance from our community with cleanup and loading as the men’s fall Weekend was small.
Phil discussed his vision statement and the importance of timely communication and the importance of reaching out to our entire diocese. Discussion ensued about holding SoL and diocesan ultreyas on different days of the week and about the number of active ultreyas and about setting up more open group reunions. He said he would like to focus on young people through ministries such as Theology on Tap, and that he also will reach out to the Knights of Columbus. Phil also will be working on a strategy for reaching out to pastors in our diocese and meeting with the bishop.

The meeting at the St. Charles Borromeo Rectory began at about 6 p.m.
- Communications. Mel asked for an additional $400 for the Web designer due to some complications and additional assistance the designer provided in moving the Web site to the new host. The Secretariat approved this.
Other general discussion followed about the upcoming Weekends.
At about 7:10 p.m.,committee members joined the community in a Mass at the St. Charles chapel. After Mass, the Secretariat retired to discuss the selection of our next lay director. After approximately 45 minutes, the Secretariat announced to the community waiting in St. Charles’ Benedict Hall that Phil Kiko was selected. A reception followed.

- Team Selection. John and Toni shared that Christy Grossman will be rectora and Tim Brady will be rector for the spring 2012 Weekends at Missionhurst and team selection is proceeding. Cheryl Hadinger and Mike Sigler will serve as angels. For the women, Father Bill Corpi will be spiritual director and Jean Sweeney will be lay spiritual director. At the time of the meeting, priests were being contacted to serve on the men’s Weekend.
- Treasurer. Two people have volunteered to succeed Mike Green, and Mimi will talk with them to see if there is a way to share the job.
- School of Leaders. Discussion ensued about the babe chicks orientation held in October at St. Charles. Jean reported that we will have a similar session in Reston or Burke April 28. The next Northern Virginia SOL will be December 10 at Sacred Heart in Manassas. On January 14, Mary Lou Miller will present on “Fruit of Joy” at St. Anthony of Padua in Falls Church.
- Weekend Committee. Duffy reported the committee is in good shape.
- Fourth Day: Carol reported a diocesan Ultreya will be held November 12 at Holy Family in Dale City. Mary Lou Miller and Joan Brown will facilitate an Advent Evening of Reflection at Missionhurst on December 2.
- Communications. The balance of the meeting was spent viewing the work in progress on the new ArlingtonCursillo.org, which goes live on November 27. Mel will provide written instructions on how Secretariat committees can access the backend. She gave special thanks to Lyn McGee, who has been responsible for nearly all the work thus far with our designer.

- Treasurer’s Report. Mimi reported that the payment for the website had been paid and that Arlington Cursillo had sufficient funds to pay for the next weekend. A question was posed about the cost per person charged by San Damiano. Duffy said she would check on that. Mimi said Mike Green would be at the women’s Cursillo closing with a check for San Damiano.
- Team Selection. Mimi announced that Christy Grossman would be the rectora for the spring weekend at Missionhurst on March 22-25. Names were discussed for the spiritual directors for the weekends and a rector for the men’s weekend. Team Selection committee would begin finding team members for the women’s now that a rectora has said yes.
- Fourth Day. Carol announced the next Diocesan Ultreya will be November 19, 2011 at Holy Family Parish in Dale City at 7:30pm. Imelda August is helping with the planning of that event. Also there will be an Advent Evening of Reflection on December 2, 2011 at Missionhurst planned by Diane Bayne and Joan Brown.
- School of Leaders. Jean outlined the schedule for upcoming School of Leader events. Monthly meetings are held on 2nd Saturdays from 9:30-noon. New Cursillistas and team from W133 and M123 in particular will be encouraged to attend the October 22 session at St Charles in Arlington where the purpose and mission of SOL will be discussed, similar to the April 2011 session at Our Lady Queen of Peace. Each secretariat member or representative is asked to be present and speak no more than 2-3 minutes about their committee’s work and needs. We’ll designate time at the conclusion of our December 2011 meeting to hear vision statements from candidates for lay director and Q/A.

- Lay Director Selection Process. Mimi noted the latest Our Banner provided the basics for the process. She would like to have all those called to consider service as our next lay director to provide vision statements to share with the entire community. Any candidates willing to step forth as candidates for Lay Director will present their vision statements on December 10, 2011 at the SOL at Sacred Heart in Manassas. The candidates will be open to questions at that time from the community. [The vision statements will also be posted on the website.] At the next Secretariat meeting, January 10, 2011, the Secretariat will select Mimi’s successor. The new lay director will be inaugurated at a Mass in late spring. Mimi will make those arrangements.
- Weekend Committee. The committee is in good shape for the fall Weekends. Cursillo has offered and John Campbell has agreed to hire someone/some group to clean the kitchens after the Weekends. The women’s weekend has posted that closing will be at 4:00pm with no Mass. Additional information will go on the website about places to stay/eat for those bringing candidates, and attending mananita.
- Spiritual Director Manual. Mimi noted that there was a new draft of Spiritual Director’s manual. Tuck has ordered a few and folks are reviewing them.
- Communications. Mel was traveling but she has advised that the website is coming along. It looks great. Once up and running, there will be tutorials for Secretariat members to learn how to post on the website. She also noted that the banner should be posted soon.

- Treasurer’s Report and Pre-Cursillo. There were no reports.
- Team Selection. Duffy will be rectora and Mark LaVerdiere will be the rector for the fall 2011 Weekends and team selection is proceeding. Deacon Dale Avery will be the spiritual director for the men and Pat Durkin lay spiritual director for the women. At the time of the meeting, priests were being contacted to serve on the Weekends.
- School of Leaders. Jean reported that next year our topic will be “Fruit in the Fourth Day.” There will be no July SOL sessions but we will resume in August and September. An orientation session to welcome the new babe chicks is tentatively set for October 22.
- Weekend Committee. The Secretariat offered to buy “Glory and Praise” songbooks for the San Damiano chapel; the songbooks also would be used at Weekend Closings. The committee is finalizing the purchase.
- Communications. Mel circulated the two proposals received and explained why the committee was going to pursue one option. Arlington Cursillo will be asked for $1,500; a community member volunteered to pay additional costs. We still hope to have the project complete in time for the fall Weekends. The committee would retain control of the site after this work is done, and one goal will be to give the ministries more access and control over their areas of the site. Discussion ensued on Secretariat members’ wish lists. Databases also were discussed. Lyn McGee maintains the Arlington Cursillo database. Mel will get a copy of the database and bring it to the Secretariat retreat for review. Going forward, each Weekend’s angel will provide Lyn with the final updated contact information for babe chicks, team members, and spiritual directors after the Weekend is completed.
- Fourth Day Committee. Holy Family will host a diocesan Ultreya, preferably on November 5 or 19. Discussion ensued about information nights, and ways to let recent babe chicks know about other Cursillistas in their parishes.
- Other. The spring 2012 Women’s Weekend will be March 22-25 and the Men’s Weekend will be April 19-22. Both will be at Missionhurst.

- Treasurer’s Report. Mimi noted that the insurance has been paid.
- Pre-Cursillo. Joan reported we already have two candidates for the spring 2011 Women’s Weekend March 17-20 at Missionhurst.
- Team Selection. Mimi reported a member of the spring women’s team withdrew and another Cursillista has stepped forward. Father Clem is the spiritual director for the spring 2011 Men’s Weekend April 7-10 at Missionhurst.
- School of Leaders. Jean asked for thoughts about what to discuss and study beginning in June. Jean is planning a May potluck that would provide the babe chicks from the most recent Weekends with an opportunity to meet with members of the Secretariat and some spiritual directors. Discussion ensued about dates, but no date was selected. Jean also asked about vehicles to share SOL dates and topics with our community. It was suggested that in addition to the dates on our Web site calendar that Jean write an article for the next issue of Our Banner, which in addition to going to all Arlington diocese Cursillistas will be included in the Fourth Day packets for the spring Weekends. Jean also will be getting in touch with table leaders from recent Weekends to encourage them to share information about upcoming SOLs. Discussion ensued about the name of School of Leaders going forward.
- Weekend Committee. Duffy shared that the spring Women’s Weekend closing will be at the Church of the Nativity. Discussion ensued regarding transportation, clean-up and hymnals.
- Communications. Mel said that the committee met January 22 and developed a requirements document regarding a redesign of arlingtoncursillo.org. We hope to have the request for proposal out to possible bidders in March, with an eye toward having the project complete in time for the fall Weekends. The committee would retain control of the site after this work is done, and one goal will be to give the ministries more access and control over their areas of the site.
- Fourth Day Committee. There was discussion about a Secretariat overnight retreat July 8-9 at Mount Tabor. Carol has made initial contact. Items discussed included spiritual directors, priests, and pricing. Carol will meet with Joan Brown regarding weekend Ultreyas and will look into which Cursillistas are members of Holy Family in Dale City.
- Other. There was discussion of possible rectors and rectoras for the fall Women’s Weekend September 22-25 and the Men’s Weekend October 6-9.
